Privacy policy

Rackometry is provided by KMB IT Solutions Limited, the controller for personal information described here. We are registered in England and Wales under company number 10463447. Our registered office is 82A James Carter Road, Mildenhall, Suffolk, IP28 7DE, United Kingdom.

Local rack information

Rackometry is designed to work offline first. Rack plans, equipment specifications, asset tags, serial numbers, hostnames, PDU and cable information, imported CSV files, audit observations and related working records are stored locally on the user’s device unless the user deliberately exports or shares them. KMB cannot access this local working data.

Import and export

Users control the files they import and export. Exported files are handled through Apple’s sharing controls and the destination selected by the user. Your organisation remains responsible for choosing an authorised destination and for its own retention, security and confidentiality requirements.

Camera and photograph processing

Rack and equipment-label photographs are processed on the device to propose occupied rack blocks or recognise a selected text field. Rack photographs can be retained locally or deleted automatically after confirmation, depending on the selected setting. Close-up label images are discarded after reading. Rack and label photographs are not sent to the online catalogue service.

Online catalogue requests

When a user chooses an online equipment search or submits a missing-model request, Rackometry sends search terms such as manufacturer, model, category and, where supplied, product number or an official source suggestion to KMB’s catalogue service. It does not need or send the rack name, rack photograph, asset tag, serial number, hostname or imported file for that lookup. Cloudflare, which hosts the service, also processes network information such as IP address and request metadata to deliver and protect it.

For a missing model, the service may use Tavily to search selected official manufacturer websites. Search terms and returned source references may be processed by Tavily. KMB does not retain the raw search-provider response; catalogue facts, an official source link and provenance may be retained to serve later users and verify the catalogue.

Purchases and trials

Trial and permanent-unlock transactions are handled by Apple through StoreKit and the App Store. Apple provides the app with entitlement and transaction information needed to recognise access. KMB does not receive full payment-card details.

Purpose and legal basis

We process online requests to provide a feature the user has requested and, where applicable, to perform our contract with the purchaser. We use limited service logs and query history for our legitimate interests in security, troubleshooting, preventing abuse and improving catalogue coverage. We may process information where necessary to comply with law or establish, exercise or defend legal claims.

Retention and deletion

Local data remains under the user’s control until it is edited or deleted, the app is removed, or the device is erased. Export important data before removing the app. Online catalogue requests that have not become a verified catalogue record are normally removed after 24 months without a further request. Verified catalogue facts and their public source provenance may be retained while useful. Technical logs available to KMB are normally retained for no more than 30 days unless a security incident or legal requirement justifies longer retention.

Because Rackometry does not require a KMB account, we may not be able to identify an individual catalogue request without the approximate date and search terms. To request deletion of identifiable service information, contact us with those details. Deleting local rack data must be done in the app or by removing the app from the device.

Providers and transfers

We use Cloudflare for the catalogue service, Tavily for official-source research on missing models, and Apple for App Store distribution and purchases. These providers may process information outside the United Kingdom under their own privacy terms. Where KMB is responsible for an international transfer, we rely on an applicable adequacy decision or approved safeguards where required.

Your rights

Depending on the circumstances, UK data-protection law may provide rights to access, correct, erase, restrict or object to processing of personal information and to receive certain information in a portable format. We do not sell personal information, use third-party advertising trackers or make automated decisions with legal or similarly significant effects. You may complain to the Information Commissioner’s Office.

Security and children

We use proportionate technical and organisational measures, but no device, transmission or service can be guaranteed completely secure. Rackometry is a professional productivity tool and is not directed to children.

Changes

We may update this policy when features, providers or legal requirements change. The effective date above identifies the current version.
